Set up a new User


Aim: To setup of a new user at a nominated location (Site) and assign the user a User Role that defines this person's authorisation level to the BrightSentinel system.

Once a Site is set up, you are ready to assign Users to the Site.

Access Site Administration


  1. Click on on Administration.
  2. Select Site Administration.
  1. Only Account Administrators and Site Administrators are able to access the Administration view.
  2. The Account Administrator is authorised to set up and update Users at all Sites.
  3. The Site Administrator is authorised to set up and update Users at their assigned Site only.

Record User details


  1.  Click the applicable Site.
  2. Select the Users tab.
  3. Click on the +New User tab.



  1. Complete the details for the new user:
    1. Site - The Site where the user is assigned. 
When a Site is selected from the hierarchy, the Site field is automatically populated.
If you want to change the selection, select another active Site from the drop-down menu.
  1.  User Role - Select the applicable user role from the drop-down menu.
  1. The Site Administrator is able to view/make changes and set up users for their site only.  
  2. The Embryologist is able to view only their site and does not have access to the Administration view.
  3. All roles are able to configure and download the data from the loggers and view the graphs and data.
  1. User Login - Unique user ID; typically the unique email address assigned to the user.
  2. Name – Both first and last name.
  3. Status - Defaults to “Active” when a user is initially set up.
  4. Details - Optional additional text if required.
  5. Communication preference - Defaults to "email".
  6. Cell Phone - Mobile phone number.
  7. Email Address - Email address of user.
  8. Time Zone - Applicable to the region of the user. Select from the menu.
  9. Temperature preference - Defaults to "Celsius".
  10. Language - English is the default and only language option currently.
  11. Decimal Places - Number of decimal places to be applied to the readings.
  12. Date Format - Defaults to the International Standards date format: yyyy/mm/dd.
  13. Time Format - Defaults to 24-hour time format.
  1. Click Save and return to Site Administration.



The new User is listed at the Site.
For quick reference, notice that the icon next to the user name is green when the User is"active" and grey when the User is "inactive".
